Everyday customer messages are easier to prepare while the day is calm. If you handle booked cleaning visits or trade jobs, save these starters where you already write messages.
Use the details you can confirm
Send through the customer’s agreed contact channel. Include the job reference when useful, fill every bracket and check that the message matches the current plan. A proposed change needs a reply before you treat it as confirmed.
Copy these five starters
Booking: Hi [name], your [service] is booked for [day], with arrival between [window]. We’ve agreed [scope]. Please let us know if any details need correcting.
Preparation: Before our [day] visit, please [agreed preparation]. Is there anything about the job we should confirm beforehand?
Arrival: Hi [name], we expect to arrive [current estimate]. We’ll update you if that changes.
Delay or reschedule: Hi [name], [brief explanation] affects our planned visit. Would [proposed alternative] work for you? Please reply so we can confirm.
Completion: We’ve completed [work] for [reference]. [Open item or agreed next step]. Please contact us if you have a question.
Hypothetical example: “Hi Jordan, we’ve completed the agreed kitchen and bathroom clean for job C-104. The additional oven clean is still awaiting your approval. Please contact us if you have a question.”
For a one-time repair, name the completed work and any follow-up actually agreed. Avoid copying a completion message that suggests pending work is finished. Keep private access details out of routine updates.
Try one small step
Save the template you use most often. Review the real details every time you send it.
