A simple follow-up routine for estimates you’ve sent

Keep the next step visible and follow up respectfully, using a small list and two reusable messages.

Estimate documents in an envelope sit beside a message bubble and clock, suggesting a respectful planned follow-up.

You send an estimate, head to the next job, and the day keeps moving. For a solo owner or small crew, a short follow-up list gives each open estimate a place to land.

Give every estimate a next step

Use a notebook, spreadsheet or tool you already check. Record the customer, estimate reference, date sent, status and next contact date. Match that date to the customer’s plans rather than sending everyone the same sequence.

  • Waiting: the customer has the estimate
  • Question to answer: you owe them information
  • Booked: move to your job process
  • Closed: they declined, chose another option or asked you to stop

Follow their timing

Hypothetical example: a Palmdale handyman customer says they’ll discuss the estimate over the weekend. Agree to check in afterward. If they need a scope clarification first, answer it before asking for a decision.

Set a reminder for the next step. After a reasonable final check, close an unanswered estimate instead of leaving it in an endless chase. Respect any request to stop.

Copy these starters

Receipt check: Hi [name], did estimate [reference] for [work] reach you? I’m happy to clarify anything in it.

Decision check: Hi [name], checking in as agreed about [work]. Is there anything you need from me to help you decide? If your plans have changed, just let me know.

Tracker: [customer] | [estimate] | [sent] | [status] | [next step] | [next contact]
